Policies & Procedures
Cancelation Policy
Twenty-four (24) hours' advanced notice must be provided to the therapist in writing prior to canceling a session. If you need to cancel within twenty-four hours of your scheduled session for any reason, or if you do not attend your appointment without notice, you will be charged the full session rate. If you have pre-paid for a Plan of Care Package, your “punch card” will receive a “punch” for the missed session.
Rescheduling:
Rescheduling within the same week is always encouraged and will be accommodated when possible, subject to therapist availability.
Special Circumstances Policy
At Life On Music, we recognize that children with developmental differences or complex needs may not always be able to communicate discomfort or illness until symptoms become significant or sudden. In acknowledgment of these unique challenges, each family will receive one complimentary late cancellation every six months.
Sick Policy
At Life On Music, the health and safety of our participants, families, and staff are our top priority. To help keep our community well, we ask that you follow these guidelines when deciding whether to attend a session:
-
Fever-Free Rule:
Children must be fever-free for at least 24 hours without the use of fever-reducing medication before attending a session. -
General Wellness:
-
Persistent coughing or sneezing
-
Vomiting or diarrhea in the past 24 hours
-
Extreme fatigue or fussiness
-
Any illness that might prevent them from comfortably participating in music activities
-
-
Please keep your child home if they are generally unwell, even without a fever. This includes symptoms such as:
-
Contagious Illnesses:
If your child has been diagnosed with a contagious illness (e.g., strep throat, flu, RSV, COVID-19, hand-foot-and-mouth), please follow your pediatrician’s guidance and ensure they have been cleared to return to group activities. -
When in Doubt, Sit It Out:
If you are unsure whether your child should attend, we encourage you to err on the side of caution to protect our music community.
Thank you for helping us create a safe, healthy, and welcoming environment for everyone!
Extended Absences
We know that families sometimes need to take a break due to travel, medical needs, or other life events. Here’s what to know if you’ll be away for two or more consecutive weeks:
-
Give Us a Heads Up: Please let us know at least two weeks in advance if you’ll be away.
-
Holding Your Spot:
-
You can hold up to 4 weeks of your regular session time by pre-paying for the missed sessions.
-
This guarantees your spot will be saved for when you return.
-
-
If You Don’t Hold Your Spot:
-
We can’t promise your time slot will still be available, but we’ll do our best to find a time that works when you’re ready to return.
-
-
Medical or Emergency Situations:
-
If something unexpected comes up, please reach out. We’ll work with you to find a fair solution.
-
Our goal is to keep scheduling fair and consistent while supporting your family’s needs.
